There is no best AP software. There is best for your situation.

Rankings lie by compression. A single ordered list implies one axis of goodness, and AP software has at least four: the ledger you already run, the volume you push, whether you need filing or capture, and who operates it. Score every tool on one axis and the winner is whoever paid for the listicle. So no ranking here. Three questions, then six picks by situation, including the situations where you should not pick us.

Three questions before any name

First: what is your ledger of record? If it is Tally Prime, and for the factories I serve it almost always is, then everything you buy must feed Tally or file around it. Tools that replace ledgers are migration projects wearing product clothes. Start from the ledger outward, never from a demo inward.

Second: where does your AP time actually go? Keying stacks of purchase bills is a capture problem. Reconciling 2B and filing is a compliance problem. Chasing approvals across plants is a workflow problem. Most desks have all three in different proportions, and buying a compliance suite for a capture problem is how budgets burn. Watch your clerks for a week before you watch any demo.

Third: who operates it? A three-person accounts team needs software that disappears into routine. A finance head with an MIS appetite needs reports. A CA-driven setup needs exports the CA accepts without reformatting. The best tool your team will not touch is the wrong tool at any price.

A note on demos, since you will sit through several. Every demo runs on clean data, a patient operator, and the vendor's happiest workflow. Your life is photocopies, month-end, and a clerk on leave. So trial with your worst ten scans, not their sample file. Ask to see the failure path: what happens when the GSTIN is wrong, the total doesn't close, the bundle mixes a challan with the invoice. The demo shows you the ceiling. The failure path shows you the floor, and you will live on the floor.

The field, by situation

Pick Busy or Zoho Books when your ledger itself is the question: smaller operations, trading rather than manufacturing depth, or a branch that needs its own books. Busy speaks the language of Indian SME accountants. Zoho suits teams already living in the Zoho suite.
